How To Redact a Report: Step-by-Step Guide

Step 1. Make a copy of the document. This will allow you to retain an unredacted version of your report. It's a good idea to identify this copy in the filename, perhaps as "ReportName - Redacted." This step is important because the redaction process makes permanent changes to the file, as you'll see in Step 7.

Step 2. Open this copy in UPDF. UPDF will convert non-PDF files to PDF automatically upon loading.

Step 3. Open the Redaction tool. When you first open the tool, a pop-up explains the two-step process required for permanent redaction of sensitive content.

Step 4. Choose the redaction tool that best suits your needs from the top of the screen. Check below the screenshot for an explanation of each tool.

  • Mark for Redaction: This tool allows you to mark any element of the PDF for redaction. You can select images and tables as well as text. Simply highlight the required element to obscure it completely. You can choose to redact all or just part of images and tables using this method.
  • Redact Pages: Use this tool when you want to conceal entire pages of the document. Just tap on the tool and input the number of the page or pages you wish to redact.
  • Find Text & Redact: This is a search-and-redact tool. Use the search function to find specific terms and then tap Redact to automatically obscure them throughout the document.

Step 5. Use the selected tool to redact the necessary information. In the screenshot below you'll see a redacted document example. Items redacted using the Mark for Redaction tool are outlined in red. The whole of page two has been redacted, as seen in the blue-outlined thumbnail. Finally, we've used Find Text & Redact to redact all instances of the term "AT Metro" from the document, in the green box.

Step 6. To finalize the redaction you need to click Apply.

Step 7. You'll see a warning that reads, "This will permanently remove the redacted information from this document. Once you save this document, you won't be able to retrieve the redacted information. This operation cannot be undone. Do you want to continue?"

Please verify that you're working with the copy you made in Step 1 before clicking Continue. (This means that the original, unredacted document is intact, and all your changes have been made to the copy).

Step 8. After clicking Continue, UPDF will permanently redact the sensitive information from your document. When you close the file you'll be prompted to save the document with an appropriate filename.

Part 3: How To Remove the Redaction From the Report

So, what happens if you need to revert to the original, unredacted version of a report?

Unfortunately, once you've clicked that Apply button, the redaction is a permanent security feature of the document. (That's why Step 1 above was to make a copy of the file, so you could retain an unredacted version).

However, before hitting Apply, it's still possible to undo the changes, remove the redaction, and revert to the original document. We'll look at that below.

These steps assume that you have a redacted document open in UPDF, and that you have not yet clicked Apply to make the changes permanent.

  • Ensure that you're in redaction mode. The redaction symbol on the left should be highlighted and the redaction tool menu visible at the top. If not, click the icon to enter redaction mode.
  • Right-click on a redacted area, and select Delete from the menu that appears.
  • Repeat the process for all redactions you wish to remove.
  • Now you can save your document without the redacted elements.

How do you tell if a document has been redacted?

The word redacted simply means that private or otherwise sensitive information has been removed from a document. This usually looks like a series of solid black rectangles concealing the missing information. Alternatively, you might see white space where the text should be or a series of asterisks or other characters obscuring the words.

What are the guidelines for redaction?

Individual organizations will each have their own guidance on redaction. The usual process is to remove all elements that cannot safely be shared publicly.Generally, if the redacted document becomes effectively unreadable, it should not be shared. If you're redacting a document for personal use, the following list will give some ideas of information you should consider redacting:

  • Bank account details and other financial information
