The word "redact" is used loosely across the PDF industry. Some tools rewrite the content stream and the characters cease to exist.   • occasional redaction on non-confidential documents, using area redaction rather than text redaction.

  • the document is confidential, or the redaction has to look clean.

Text redaction does not fully cover the text it targets. Fine slivers of the characters remain visible at the top and bottom of the redaction mark. The data is gone from the file — search, copy and extraction all return nothing — but the shape of the original characters is still on the page, and zooming in lets the value be reconstructed by eye. Ascenders and descenders alone give away more than most people expect. A redaction that survives every technical check and still leaks to a reader is a serious defect, and it is why PDFgear ranks last here despite being free.

The workaround is to use draw-an-area redaction over the whole region instead of text redaction, which covers the full character height.

Every desktop tool in Part 9 passed. Browser tools split — two redact properly, two do not, and knowing which is which matters because the failing ones rank well for "free PDF redaction."

Smallpdf and iLovePDF both redact properly. Both destroyed the salary figure, and both survived the search, copy and extraction checks. Use them when the file isn't confidential, the job is one-off, and installing software isn't worth it. Neither offers overlay text, so neither suits regulated disclosure.

Sejda has no redaction at all. What looks like it is the Whiteout tool, and Sejda states in its own interface that whiteout hides content but does not completely remove the underlying text or images. Taking that at face value, the salary figure survived search, copy and extraction. Sejda is being honest about it — the risk is that users read "whiteout" as "redaction" anyway.

It draws a black line rather than snapping to the text area, with thickness control, so so marks routinely overshoot or undershoot the length of the text they target, and you cannot resize the stroke after drawing. A rectangular blackout tool is also available. It also requires a paid plan before it will return the finished file.

Part 12. Edge Cases: Redactions That Fail Silently

"I OCR'd the scan so it would be searchable, then covered the sensitive part." An un-OCR'd scan has no text layer, so a shape over it has nothing underneath to leak. OCR creates an invisible text layer — and now the shape sits on top of searchable, extractable characters. Running OCR before covering turns a safe file into an unsafe one. After OCR, redact.

"I redacted it, then emailed the same file I'd been editing." Redaction destroys the characters in the saved output. If you send the working file before applying and saving, or send an earlier autosaved version, the original text is still present. Apply, save to a new filename, then send the new file.

"The black bar is there but Ctrl+F still finds the number." The tool covered rather than redacted. This is the defining failure of browser whiteout tools and the one to test for every time — ten seconds of Ctrl+F on the saved file catches it before the recipient does.

"I redacted the visible text but the document still identifies the person." Metadata sits outside page content: author name, editing software, revision timestamps, and sometimes the original filename. Redaction tools generally do not touch it. 1. Can redacted text be recovered from a PDF?

Not if it was genuinely redacted — but very easily if it was only covered. True redaction rewrites the content stream and the characters cease to exist, so search, copy and extraction all return nothing. A cover shape leaves the text fully intact underneath, and the recipient recovers it by selecting the shape and deleting it, or simply by copying the region. The two look identical on screen, which is why the Ctrl+F check on the saved file matters.

2. Can I redact a scanned document?

Yes, but not with text redaction. A scan is a single image with no text objects, so use area redaction over the region — that removes the image content itself. Alternatively, run OCR to convert the image text into editable objects and then redact those. Do not OCR and then cover: OCR adds a searchable text layer that a cover shape leaves fully extractable.

3. Should I redact or password-protect a sensitive PDF?

They solve different problems and are usually used together. Redaction removes content permanently so it can be shared safely with anyone. Encryption controls who can open or change the whole document while leaving the content intact. A redacted copy for distribution plus an encrypted original for internal storage covers both.
